User information
What you need to know when you take part in an exam run in CertBara – as a candidate, examiner, assessor or exam centre staff member.
1. Access to the exam
- The exam centre gives you a personal link or QR code. Candidates and examiners have no account or password in CertBara – the link is your access, so do not pass it on or publish it.
- The first device on which you open the link is remembered. On any further device you verify yourself with a PIN. After five wrong attempts the PIN is locked for 15 minutes, after further errors for longer, and in the end the centre has to unlock it.
- A sign-in lasts 16 hours, i.e. the whole exam day. After that, open the link again.
- Lost your link or forgot your PIN? Contact the centre. It can reset your PIN; your devices will then need to be verified again.
- Exam centres and administrators sign in with their own accounts; administrators always with two-factor authentication.
2. For candidates
What is recorded during the exam
- Answers and texts are saved continuously, even when the signal drops. You do not need to save anything by hand.
- Practical and oral parts may be recorded – as audio, and where needed as photos or video. The recording serves as evidence of the assessment and for a possible appeal, not for any other purpose.
- Paper tests and sheets are scanned. The QR codes on them identify the candidate and the question – do not cover, write over or fold the sheets across the codes. Mark answers only in the boxes provided.
- In an electronic test the system records leaving the test or switching to another app, leaving full-screen mode, copy and paste, printing and reloading the page. An examiner assesses these records; the system does not exclude anyone by itself.
- Documents (e.g. a medical certificate, licences) are only checked by the centre. The system stores only that a document was shown and until when it is valid, never a copy.
Results, objections and your data
- The system adds up points according to the certification rules; the result is decided by the examiners and the certification body. The centre or the certification body will tell you your result.
- Please send objections about the exam or its assessment, requests to see the materials and requests to correct or delete your data to the exam organiser (the exam centre).
- Details are in the privacy policy.
3. For examiners and assessors
- Work on the device the centre gave you or on your own, and do not tell anyone your PIN. Do not leave an unlocked tablet unattended.
- Tell the candidate before you record that a part of the exam is being recorded. Do not record or photograph people who do not take part in the exam unless necessary.
- Data is sent as soon as there is a signal. Before you return the device or leave the field, check that everything has been sent – in the Companion app every file shows Na serveru (potvrzeno) (on the server, confirmed). Until then, do not delete any data from the browser or the tablet.
- Save assessments only for candidates assigned to you; every change is written to the audit trail under your name.
- Report a lost or stolen device, or any suspicion that someone else has your link, to the centre immediately.
4. For exam centres
- You are the controller of the personal data of your exams. Inform candidates and examiners about the processing and about recordings – you can refer them to this page and the privacy policy and add your own contact details.
- Give access links only to the people they are meant for. The centre link and the links of system tablets (information screen, oral exam, supervisor) give access to the whole exam – treat them like a key. The information screen shows names, so place it only where appropriate.
- Keep only what you need. Decide how long you keep the materials; you can delete recordings and files you no longer need in the centre. Download the exam archive and keep it according to the certification rules.
- You handle candidates' requests for access, correction or deletion of data; we will help with the technical side.
5. Devices and connection
- Browser: a current version of Safari, Chrome or Edge. We recommend a tablet for work in the field.
- The CertBara Companion app for iPad adds reliable recording (also with the screen locked), an upload queue showing the state of each file and a map for preparing the exam site. It works only with access from a centre.
- Without a signal you can keep working; the device keeps the data and sends it as soon as it is online. Data is not deleted from the device until the server confirms it.
- The exam site map loads map tiles from the internet (ČÚZK, Esri, OpenStreetMap). The device location is used only to show it on the map.
6. Rules of use
- CertBara is used only to prepare, run and evaluate certification exams. Use the data you can access only for this purpose.
- Do not try to access other exams or accounts, bypass security or disrupt the system. In case of misuse the operator or the centre may block access.
- We run the system with care and store data so that it is not lost even when the connection fails. We cannot guarantee uninterrupted availability, so the centre also has a fallback for the exam, such as paper forms.
- The content of exam packages (questions, answer keys, tasks) belongs to the certification body and must not be copied or shared.
